LIC marches towards a paperless office

MADURAI: Moving towards a paperless office, the policy records of all the 32 lakh customers of Life Insurance Corporation of India’s Madurai division (as on November 30, 2008) would be digitised by this fiscal.

Part of a four-year nation-wide project, Enterprise Document Management System (EDMS) makes all records available in electronic form by scanning the documents and storing them in a database, Senior Divisional Manager S. Chandrasekar, told The Hindu .Madurai division comprises 25 branches and seven satellite offices in Madurai, Dindigul, Sivaganga, Ramanathapuram, Theni and Virudhunagar districts.

“All the 2,048 branches and 700-odd satellite office of the LIC are networked. Once EDMS is completed, a customer’s records can be accessed anywhere in the country,” he said.

In the first phase of implementation, all records pertaining to the period up to March 2007 would be scanned. This alone totals up to nearly 25 lakh, of which just around one lakh is yet to be scanned. Under the second phase, all documents till November 30, 2008 would be scanned, he said.

Once fully completed, servicing all these customers in branches and satellite offices would take place only online. At present, 14 of the 25 branches in the division have been fully digitised, Mr. Chandrasekar said.

Besides ensuring faster delivery of services, the database of digital images would ensure nil impact on business in cases of destruction of paper-based records caused by accident or disaster.

The documents could be accessed by the index-key such as the policy code or agent code. The project is expected to be completed nation-wide by 2010-11.
